Appointments

 

Meetings, anniversaries and reminders can all be scheduled in the mail calendar. They can be one off appointments or recurring. Emails can sent when the appointment is due also prewarning alerts with emails can be sent.

To create a new appointment use the meeting menu "New appointment.." or press the  toolbar icon.

 

 

The appointment date and time can be set using the calendar and clock. The summary name has to be set. Other fields are optional. To invite others simply add them to the Attendees list.

 

The appointments can be exported to a file for back up, or imported from a file to bring in entries from another source. This is done using the Import and Export menu choices under the Meetings menu. Refer to Import Export Appointments.

 

 

Summary

This need to be filled in. It is used as the main description of the appointment.

 

 

Location

This indicates where the meeting will be held.

 

 

Duration

This is the length of time the meeting goes for. It is optional and a time of 0 is normal for simple reminders.

 

 

Repeat

For an appointment that reoccurs the repeat is used to choose the frequency of the appointment.

 

The forever / until option is available once the repeat is chosen. Selecting the forever will keep the appointment repeating indefinitely. Otherwise the end date can be set.

 

The commencement date will show when updating a repeating appointment. This field can not be changed.

 

 

Prewarning

Prewarning alerts can be generated before the appointment is due. If this is selected it is possible to choose a prewarning email to be sent.

 

Choose the Prewarning email to send a email when the prewarning occurs.

 

It can be convenient to repeat the prewarning a number of times in the lead up to the appointment. Choose this from the prewarning drop list.

 

Send email

To send an email when the appoint is due select this option.

 

 

Details

This fields is used to add any extra information that is relevant to the appointment.

 

 

Attendees

To add a new attendee entry press the add button or alternatively press the pick button to choose from the address book. To remove an entry highlight it and press the remove button.

 

 

Enter button

Press this once all the field details have filled in.

 

 

Delete button

To remove the appointment from the calendar press delete.
